Tōtara Springs is the largest centre of its kind in New Zealand and is the ultimate venue for church retreats, school camps, sports activities, business conferences, artistic events, holiday camps and family reunions.  We are situated in a beautiful setting, nestled at the foot of the Kaimai mountain ranges in Matamata. There are 90 acres of park-like grounds and native bush with a stream, walks and bush trails. We have a large indoor sports and activity centre and breakaway areas, as well as a large hot pool fed by natural springs.  We have guests of all ages who travel from afar to enjoy our beautiful setting and outstanding hospitality.

About the role:

This is a full time position (minimum of 40 hours per week) as part of the admin team at Tōtara Springs.

The purpose of the role is to:

  • Provide excellent communication to our guests

  • Provide an accurate and effective registration and support service to the Ministry Development Team (holiday camps, family camps and Easter camp).

  • Give outstanding first impressions to guests who approach the front desk or who call on the phone.

Your duties will include but not limited to:

  • Collate and process the registrations for holiday camps (kids, j-kids, teens) and follow up with the guests or parents as required to confirm/discuss any special requirements (i.e. dietary, medication and behavioural).

  • Follow up and process any cancellations and refunds as required. Establish and monitor any payment plans agreed with guests.

  • Setting up and monitor holiday camp registrations and bookings through Venue 360. Following up any unpaid registrations, incomplete registration forms and waitlists.

  • Liaise with social workers as required.

  • Setting up and monitoring of back end venue 360 registrations.

  • Reception work, answer phones and talk to guest who come to reception.

You ideally fulfil the following requirements:

  • Previous experience with administrative tasks and invoicing.

  • Good communication skills

  • Good time-management skills

  • Knowledge of health and safety requirements for kitchens
